Who owes you, whom you owe, and for how long

Most small businesses know roughly who owes them money. This page shows how Kept records money coming in and going out, links each payment to the invoice or bill it pays, and shows what is still unpaid.

Recording a payment

Status: Available now

A payment can come by bank transfer, cheque, cash or card. You record it and link it to the invoices it pays, in full or in part. If money arrives before there is an invoice, Kept keeps it as an advance on the customer's account until you link it. Each time you link a payment, the invoice status updates. So a part-paid invoice shows as part-paid everywhere you see it.

Supplier bills and what you owe each supplier

Status: Available now

Kept reads supplier bills and suggests how to record them. A person confirms each one, and it stays linked to the stored document. Each supplier has its own account showing bills, payments and what you still owe. Paying a bill works like receiving money: you link the payment to the bills it pays, and what you owe goes down.

How overdue each amount is

Status: Available now

Two reports show what customers owe you and what you owe suppliers, grouped by how far past the due date each amount is. Invoices and bills brought over from your old system keep their own numbers, issue dates and due dates. So the reports are right from the first day, instead of showing one lump sum. Each item drops off the report once it is paid.

Staff expenses and purchase orders

Status: Available now

You can enter a staff member's expense claim, approve it and pay it back, with the receipts stored with it. A purchase order records what you agreed to buy before the supplier's bill arrives, so you can check the bill against it.

Regular costs

Status: Available now

Costs that repeat, such as rent or a software subscription, are set up once so you do not forget them. A person still confirms each one before it goes into your books.

Following up customers

Status: Available now

You can give a customer a statement of account that their finance team can check against their own records. You can also set your own steps for reminders. Kept records that you followed up a customer. It does not send the reminder email itself; you send it.

Recording purchases

Status: Available now

Record purchases against their bills, and check each one before it goes into your books.
