Supplier bills, receipts and bank statements arrive every week. This page shows where those documents go in Kept, who turns them into entries in your books, and how you check at the end of each period that your bank balance agrees with your books.

Keeping the document

Status: Available now

You upload a supplier bill or a receipt, and Kept stores the file. When the entry for it goes into your books, it stays linked to that file. Anyone looking at the entry later can open the document behind it. If you upload a clearer copy of the same document, it is linked to the first one instead of replacing it. Kept will not let the same document go into your books twice, which helps you avoid counting a cost twice.

A person confirms it, on purpose

Status: Available now

Kept reads the document and suggests the supplier, the amount, the VAT and where the cost belongs in your books. A person checks the suggestion, fixes anything wrong and confirms it. Nothing goes into your books without that confirmation. For services you buy from abroad, the person chooses how VAT applies, and Kept records both sides of the reverse charge (where you account for the VAT yourself instead of the foreign supplier). We would rather a person confirm what goes into your books than have a guess added silently and found at your next VAT return.

Bringing in your bank statement

Status: Available now

You import the statement file your bank gives you. Each line arrives unmatched and waits for you. Rules you set up, for example that a certain fuel station always counts as a car expense, are applied to the lines they fit. You can still see and change each line. Lines are never deleted. A line booked wrongly is fixed with a visible correction that cancels it out.

What matching really means

Status: Available now

Matching means saying: this line on the statement is the money for that invoice, or the payment of that bill. Once matched, the invoice or bill shows as paid by that transfer, and the same line cannot be matched again. A line with no document behind it, such as a bank charge, is booked to the right place in your books by a rule or by hand. The goal is that every movement on your statement ends up explained.

Checking your bank against your books

Status: Available now

At the end of a period you compare the balance in your books with the closing balance on your bank statement. Kept shows what is matched, what is not, and the difference between the two. When they agree, Kept records that the check is done. You can then lock that period, so nobody adds to it by mistake later, and the figure your accountant checked stays the figure in your books.

Bank accounts in other currencies

Status: Available now

Kept supports bank accounts in currencies other than the dirham. Import their statements and match payments as usual. The dirham value of the balance is updated using the exchange rate on the closing date.

Reading receipts from photos

Status: Available now

Take a photo of a receipt or a bill. Kept reads the supplier, the date, the amount and the VAT, and matches it to the card or bank payment if there is one. You see the suggested entry on your Check pile and tap Right, or change what is wrong. The photo stays attached to the entry.
